Smithlexiconchambers
Engagement Terms
How Smithlexiconchambers evaluates prospective matters, establishes formal written engagements, and coordinates client portal services, payments, and deliverables.
1. Purpose of This Overview
This page explains how Smithlexiconchambers ("Westbridge", "the firm", "we", "us", or "our") transitions from an initial website enquiry or consultation request to a formal client engagement, and how our online portal tools support accepted matters.
This page is an informational overview of our engagement process and portal workflows. It is not itself a signed engagement contract, and reading this page or using the website does not create an attorney-client or lawyer-client relationship.
2. When Legal Representation Begins
Smithlexiconchambers does not accept legal representation automatically through website forms, calendar bookings, or unverified online checkouts. Representation begins only when all three of the following steps are completed:
- Intake and Conflict Review: We review your initial consultation request, plan enquiry, or matter summary to confirm that we have no conflict of interest and that the requested work falls within our available practice capacity.
- Explicit Firm Acceptance: We confirm to you in writing that the firm accepts the matter.
- Agreed Written Engagement Terms: You and the firm agree to written engagement terms that identify the client, specify the exact scope of legal services to be performed, and establish the applicable fee, billing, and communication structure.
Unless and until those written engagement terms are agreed, the firm has no duty to represent you, monitor deadlines on your behalf, or take legal action in connection with your enquiry.
3. Consultations and Scheduling
Prospective and existing clients may request a consultation by selecting an available slot on our online scheduling calendar (with times shown in UTC) and submitting a brief matter summary:
- Review of Requested Slots: Every consultation request is logged with a unique reference and reviewed by our team. A requested time slot is subject to confirmation, rescheduling, or cancellation depending on conflict screening and practitioner availability.
- Preparation and Scope: An initial consultation is used to understand your objectives, discuss potential approaches at a high level, and determine whether a formal engagement is appropriate. An initial consultation does not obligate either party to enter into a broader representation.
4. Trust & Will Plans and Legal-Service Orders
Our website presents structured Trust & Will plan tiers and allows signed-in account holders to submit plan enquiries or legal-service orders:
- Informational Plan Descriptions: Public plan descriptions, comparison tables, and displayed prices illustrate standard service tiers for routine planning needs. Before work begins on any plan or custom matter, we confirm that the selected tier is appropriate for your circumstances and verify the final scope and fee.
- Separation of Payment Status and Legal Work: Our client portal tracks payment status separately from legal-service progress. Submitting an order or making a payment registers your financial transaction, whereas the legal drafting, review, and advisory stages progress separately through your matter workflow once intake requirements and engagement terms are satisfied.
5. Payment Methods, Verification, and Invoices
When payment collection is enabled for your order or invoice, the platform may provide one or more of the following payment options:
- Manual Bank Transfer: You may submit a payment according to the provided bank instructions along with your payment reference and uploaded proof of payment for administrative verification by our team.
- Cryptocurrency Payment: Where enabled, you may submit payment via the configured cryptocurrency network and provide transaction verification details or proof for reconciliation.
- Automatic Gateway Checkout: Where enabled, you may complete payment through a configured online payment processor, with transaction confirmation recorded against your order and invoice.
All manual and cryptocurrency submissions remain in a pending verification state until reviewed and confirmed by firm staff. Invoices and payment records can be viewed in your authenticated client dashboard.
6. Client Portal Workflows: Questionnaires, Support, and Documents
Once you hold a verified client account—and particularly where an order or engagement is active—we coordinate administrative and matter steps through your dashboard:
- Account Ownership: Portal records are tied to the specific authenticated account under which they were created. Guest enquiries submitted prior to registration are not automatically linked by email address.
- Intake Questionnaires: We may assign structured questionnaires in your dashboard to gather the factual details required to evaluate or prepare your matter. Timely and accurate completion of assigned questionnaires is essential to progressing your service.
- Support Tickets and Client Communications: You can open and respond to support tickets inside the portal to ask questions, provide updates, or coordinate scheduling and order administration with our staff.
- Private Client Documents: When our team prepares drafts, summaries, or final deliverables for your matter, staff upload those files to the private documents area of your account. Only authorized firm personnel and the authenticated account holder can view or download those documents.
7. Changes to Scope and Concluding an Engagement
If your objectives change or additional legal work is needed beyond the scope originally agreed in your written engagement terms, any expansion of scope and associated fees must be confirmed in writing before additional work is undertaken. Either you or the firm may conclude an engagement in accordance with the agreed written engagement terms and applicable professional responsibilities.
8. Questions Before Proceeding
We encourage you to ask questions about our process, scope, or fee structure before entering into an engagement. Please use our Contact Us page or request an initial consultation if you would like to discuss how Smithlexiconchambers can assist with your matter.
